Institutional Membership Update Instructions

Institutional Representatives

Institutional Memberships have the following number of institutional representatives (WEPAN members):

• 30 for 30 Institutional Champions - Unlimited institutional representatives
• Institutional Champions - Unlimited institutional representatives
• Academic Leaders Consortium - 20 institutional representatives
• Premium - 8 institutional representatives
• Classic - 4 institutional representatives

Each Institutional Member has a primary institutional contact.  This primary contact has the ability to add and remove members from an institutional membership.

**It is important for the primary contact to review the roster of your institutional members. In some cases, there may have been some turnover and so we ask that you carefully review the list so that WEPAN can ensure benefits are extended to all of your members.

Here are instructions to access this list:

1. Login to www.wepan.org with your username and password (if you've forgotten your password, you will have the option to reset).
2. Select “Manage Profile”.
3. Under Information and Settings, select “Institutional Representatives”.

Follow these steps to ensure your Institutional Representative list is up to date:

Review your current Institutional Representative list (see image above).

• You may see that some members are showing as "suspended". As primary institutional contact, you can review the current list and choose to "enable" or "suspend" any existing representative that is listed.
• Clicking the red "X" next to the first person will 'Suspend' the listed member's account. You may want to suspend someone, for example, if they no longer work for your college or institution.
• Clicking the green check mark next to the third person will 'Enable' the listed member's account. You may find someone has erroneously been suspended. **Note: only "enabled" representatives are considered current WEPAN members attached to your institutional membership.

If you would like to add new representatives to your list, do the following:

• Click "Activate all available seats" at the top of the page. This allows you to create space to add new Institutional Representatives to your membership.
• Select a method to add representatives:
• Create representatives yourself. You'll need to select a username/password and complete their profile for them (name, title, email address are minimum contact information requirements to be placed in the form). For this option, click "Create Institutional Representatives".
• Have them create their own username/password & complete their own profile after receiving a link from you: For this option, type in the email addresses of those you want to include in the "Invite New Members" space. These colleagues will receive an invitation with a link so that they can self-register under your institution's membership.
